Full time, salaried, some Saturday's hours; more details below.You will be greeting, educating, and scheduling appointments with our clients by presenting the latest in window fashions (Blinds, Draperies, Shutters and Shades). The job consists of scheduling, receptionist work, administrative assistant duties, clerical duties, self-discipline, attention to detail, high organizational skills, and strong multi-tasking capabilities to complete day to day office tasks.If you share our passion for pristine customer service and design, we'd love to share this exciting career opportunity with you. Window treatment experience is a valued, but not required. We do provide and require training on all our products and office procedures.The job requires you are focused and dedicated on nothing else but our business and your position throughout the workday. Someone who requires several breaks/interruptions throughout the day will not thrive in this position. You must be a professionally dressed outgoing individual that loves interacting with people. We need someone who has the ability to work independently, has self confidence, is able to be trained on all the products we carry, has strong computer skills including all Microsoft programs, has advanced browser use capabilities, excellent time management skills, strong communication skills, has a flair for design and color, can handle our walk-in/phone traffic, has the ability to learn our CRM system and operate inside of it swiftly/quickly, is detailed oriented, and has strong multitasking capabilities. The office administrators / administrative assistants / receptionists / schedulers are essentially mini managers managing four entities: Our designer's (sales) schedules (processing incoming leads), our installer's schedules, and payment collections both on completed job balances (installs) and incoming deposits (sales), and fielding all incoming client requests via phone. Summary of essential job functions Answer, screen and handle inbound phone calls Retrieve messages (email and voicemail) Handle/process all incoming leads either calling in, filling out our form online, or walking into our designer showroom in a professional manner to schedule a consultation Schedule and coordinate designer's consultation appointments, installers installations, and meetings by zip code area minimizing drive time Field and manage clients walking into our showroom presenting the latest in window fashions with our product displays. Administrative responsibility is to close an appointment with one of our designers for consultation. Order Processing: keeping track of order confirmation #'s. Admin write order numbers, costs, and ship dates on each order that are emailed to us from each manufacturer Daily Recap: Excel file processed daily which recaps the previous work days sales, booked leads, and installations whether complete paid in full, keeping track of balance collections taken by installers / or not complete due to manufacturing errors so our designers can review, and place needed re-orders Payment Collections Check Deposits Receiving product and logging in of inventory General clerical duties Preparing the next day's installation "job jackets" for our installers including all needed installation documentation Maintain electronic and hard filing systems Handle requests from managers and supervisors Resolve administrative problems and inquiries Maintain office supply inventory Cooperate and work with our full-time operation manager's policies/procedures, completing the above tasks per management's requestSaturdays you work from 10-3 and have off the following Monday assuming it's not a holiday and our showroom is open. The position is salaried, and the Saturday schedule rotates between admin. Each admin works every 3rd Saturday.We are a local franchise with over 2,500 other franchises nationwide and GROWING!
